Funnel & analysis

Funnel & analysis screen in Octibiz

Overview

The forecast looks forward; this page looks back: how many opportunities survived each stage, why deals were lost, how long things take — and what was actually done?

Analysis is always per pipeline and period. Both have to be chosen at the top; without a selection the page stays empty rather than presenting an arbitrary default as truth.

Core tasks

Read the funnel. The funnel shows how many deals reached each stage. The drop between two steps is the conversion — and the step with the steepest drop is the one that needs work.

Watch the dwell time. Per step the average dwell time is shown, together with the number of completed passes it is based on. That number is the honest part: a dwell time from two passes is not a metric but a coincidence — which is why it is stated. If no deal has yet left a step, the page says so explicitly.

Won and lost. Closes and losses in the period, plus the loss reasons and their distribution. This is the payoff for requiring a reason when losing — without it, an empty panel would sit here.

Key figures. Open deals and the average age of the open deals. A rising average age is the earliest sign of a stalling pipeline — earlier than any drop in revenue.

Activity. Counts per activity type in the period, plus emails opened and links clicked.

Fields in detail

This page has no input fields other than the period; everything else is a report on the deals.

FigureWhat it comes fromWhat it means
From / Todate pickers in the headerThe period under review. It cuts the report, not the data — a deal outside stays untouched.
Stagestages of the chosen pipelineThe rows of the funnel, in the order from CRM settings.
Countdeals that reached the stageHow many made it this far.
Transitioncount of the stage ÷ count of the previous oneThe rate from stage to stage. The steepest drop is the bottleneck.
Valuesum of valueAmountThe volume per stage, not just the head count.
Durationtime between two stage changesHow long deals sit on a stage.

Settings & permissions

  • Module module.crm.
  • Deal visibility still applies — without crm.deal.view_all you are analysing your own deals.
  • Stages and loss reasons come from CRM settings.
  • No stages, no analysis. A pipeline without configured steps has no funnel; the page says so.

FAQ & troubleshooting

The page stays empty. Choose a deal pipeline and a period at the top. Without both, nothing is analysed.

The loss reasons show almost nothing. Then hardly any deals were marked as lost in the period — or the reasons are maintained too coarsely under CRM settings, so that everything lands in one catch-all.

A stage's dwell time is missing. Then no deal has left that stage within the period. Without a completed pass there is nothing to average.

Opened emails are not counted. These figures arise from tracking sent mail. Without a corresponding sending route — through sales sequences, for instance — they stay at zero.
