Customer settings

Customer settings screen in Octibiz

Overview

This page maintains the catalogues from which customers and contacts draw their selectable values. Three tabs: Customer statuses, Contact statuses and Contact roles.

The system's principle applies here too: statuses are data, not program. You can rename, extend and reorder the shipped set without anything having to be released.

Core tasks

Maintain customer statuses. Every entry carries a key, a label, a colour, a sort order and the markers Default and Active. In addition there are the attributes Won and Lost — they map a freely named status onto an outcome, so that reporting knows what counts as a close and what as a loss. A status without that attribute contributes to no win rate.

Maintain contact statuses. The same structure for the contact people.

Maintain contact roles. Roles describe a contact's function in the relationship — technical, commercial or operational, for instance. They are not permissions; permissions come exclusively from Roles & permissions.

Set the default. The entry marked Default is pre-selected on new records.

Fields in detail

FieldRequiredValues / formatWhat it does
Key keyyesshort, stable textThe technical identifier for automation, reporting and the interface. Do not change it once customers sit on it.
Label labelyestextWhat the user sees. Freely changeable without touching existing customers.
Counts as won isWonnoyes/noWhether a customer in this status counts as won. The basis of the win rate.
Counts as lost isLostnoyes/noWhether they count as lost. The two together turn a status list into a measurable figure — the name alone tells the system nothing.
Colour colornocolour valueColour of the status marker.
Order sortOrdernonumberPosition in the selection.
Default isDefaultnoyes/noThe status a new customer starts on.
Active activenoyes/noOff means no longer selectable; existing customers keep it.

Settings & permissions

  • No route permission of its own. The page is reachable; changing is checked by the server.
  • The key is permanent, the label changeable at any time.
  • Deactivate rather than delete. A deactivated status is no longer offered but stays on existing

records.

  • Applies across brands, because customers and contacts are brand-neutral master data.

FAQ & troubleshooting

The win rate is wrong. Check which customer statuses are marked Won and Lost. Without that mapping the cases are missing from the calculation.

A status cannot be selected. It is deactivated. Activate it, or choose another.

Contact roles grant no access. Correct — they describe the function, not the authority. Portal access is governed by Portal access.

After renaming, old records look different. That is intended: the label is only the display. The assignment hangs on the key and is unchanged.
