Overview
Two tabs: Quote statuses and Text templates.
Despite the name, this page concerns quotes only — it belongs to the quote module. Invoices and bookkeeping have their own surfaces.
Core tasks
Maintain quote statuses. Every status carries a key, label, category, colour, sort order plus default and active. The categories are open, in progress, done and cancelled.
The category governs reporting: from it the system knows whether a quote is still in the balance. A freely named status such as "with the customer for review" without a category contributes to no total of open quotes.
Create text templates. Reusable introduction and footer texts. Per type, one entry can be marked as the default — it pre-fills new quotes automatically.
That is the most effective move on this page: without a marked default, every quote starts with an empty introduction field, and everybody writes something different in it.
Fields in detail
The What it does column answers what changes in the system — not what the field is called. The grey name behind the label is the API field: the same thing runs under that name through automation, import and AI tools.
Quote status
| Field | Required | Values / format | What it does |
|---|---|---|---|
Key key | yes | short, stable text | The technical identifier automation, reporting and the interface address the status by. Do not change it once quotes sit on it — change the label instead. |
Label label | yes | text | What the user sees. Freely changeable without touching existing documents. |
Category category | no | open, active, done, cancelled | The business meaning behind your own name. The system decides by it what counts as an open quote in the list and what enters the win rate — not by the name you give. |
Colour color | no | colour value | Colour of the status marker in list and reports. |
Order sortOrder | no | number | Position in the selection. What is needed often belongs at the top. |
Default isDefault | no | yes/no | The status a new quote starts on. There is exactly one; the mark moves rather than duplicating. |
Active active | no | yes/no | Off means no longer selectable; existing quotes keep it. The right route for a status that has served its time. |
Settings & permissions
- Module
module.quote. - Permission
finance.config.manage. - A status's key is permanent, the label changeable at any time.
- Deactivate rather than delete — existing quotes keep their status.
- The document's appearance lives elsewhere, namely in the
document templates. The texts live here, the layout there.
FAQ & troubleshooting
The total of open quotes is wrong. Check the statuses' categories. Only what counts as open is included.
New quotes have no introduction. Then no text template is marked as the default.
A status cannot be selected. It is deactivated.
Where do I change the quote's font and logo? Not here — in the document templates; the logo comes from the brand.
